True Payroll Cost

Gusto Pricing and Payroll Cost: Calculate Your Plan, Extras and Switching Bill

Gusto pricing combines a monthly base fee with a monthly charge for each billable person, plus any separately charged services you select. The published employee payroll plans are Simple at $49/month + $6/person/month, Plus at $80 + $12/person/month, and Premium at $180 + $22/person/month. These are Gusto’s advertised prices, checked October 22, 2026, rather than quotes from this website. Gusto pricing

Your useful comparison is the cost of the work you need completed. Calculate the selected plan, add only services that are not already included, and keep migration work in a separate transition budget.

Separate the charges before adding them

A Gusto payroll pricing quote can contain several different billing units:

Cost category What belongs here How to calculate it
Base subscription The selected plan’s fixed monthly charge Monthly charge × chargeable months
People The selected plan’s monthly per-person charge Rate × billable people × chargeable months
Optional services Monthly, per-person, per-payroll or per-submission charges Use each service’s actual billing unit
Transition work Specifically quoted migration work and your own implementation work Enter the agreed charge or documented internal cost separately

Do not call every charge outside the subscription a one-time fee. A charge per submission can recur. An annual administration charge is recurring too.

For this worksheet, optional services deserve the closest check: their billing units can differ, and some are already included in another plan. That is a practical review priority, not a claim about how frequently customers miss them.

Gusto lists Priority Support at $30/month plus $3/person/month for Simple and Plus. It lists Same-day pay at $90 per payroll and Instant pay at $100 per payroll, with both included in Premium, subject to eligibility. These items were checked October 22, 2026. Do not add their standalone charges to a plan that already includes them. Gusto pricing

Work through your quote in this order

1. Fix the scope

Write down the selected Gusto pricing plan, the employees or contractors to be billed, and the states involved. Simple is presented for payroll in one state; Plus includes multi-state payroll.

Then identify the actual task behind each requested extra. “Better support” is vague. “Help resolve a year-to-date import discrepancy before the first approved payroll” is something you can assign and verify. Plan scope checked October 22, 2026

2. Match each extra to the plan

For every requested feature, record its status: included, separately charged, declined or awaiting confirmation.

Add the incremental charge only. If you change plans, review these rows again rather than carrying every old add-on into the new total.

3. Annualize each billing unit

Multiply monthly charges by the months they apply. Multiply usage charges by the usage you actually expect, clearly labelled as your scenario assumption.

Keep an introductory price and its end date in separate fields. Do not extend a temporary discount across the whole year.

4. Assign the transition work

Give each import, comparison and unresolved correction a responsible person and a completion record. Ask the providers to confirm their responsibilities in writing.

5. Reconcile the first invoice

Compare the invoice with your accepted worksheet. Check the plan, billed people, activated extras and usage events. Send a disputed line back with its quote reference and the requested correction.

Two worked Gusto cost examples

These are reproducible scenarios calculated on October 22, 2026. Team size and duration are example assumptions; the vendor rates come from the linked official page. Neither example includes wages, payroll taxes, benefit funding or unconfirmed charges.

Example A: turn a per-person rate into a team’s annual subscription

Assume 10 billable people, unchanged for 12 months, on Simple.

The equivalent monthly subscription is $49 + ($6 × 10) = $109. This is the plan component, not a promise that the final invoice contains no other items. Rate source, checked October 22, 2026

Example B: turn a support add-on into an annual commitment

Keep the same illustrative 10-person team and assume Priority Support remains active for 12 months.

That total covers only the two specified components. Priority Support provides prioritized access to phone and chat support; do not interpret that description as a named case owner or a guaranteed resolution deadline. Request any such commitment explicitly. Support price and description, checked October 22, 2026

Use a worksheet that connects charges to unfinished work

Download the fillable cost worksheet (CSV)

Copy the table below or download the accompanying CSV. Leave an unknown charge blank and mark it “awaiting quote”; enter zero only after confirming that no charge applies.

Item Your rate or quoted amount Units and period Annual amount Inclusion or evidence Owner
Selected Gusto plan base ___ ___ months ___ ___ ___
Billable people ___ ___ people × ___ months ___ ___ ___
Time tracking ___ ___ ___ Included / extra / declined ___
Support selection ___ ___ ___ Access promised; resolution responsibility ___
Faster-pay events ___ ___ payrolls ___ Eligibility and included allowance ___
Submission-based services ___ ___ submissions ___ ___ ___
Annual administration charges ___ ___ ___ ___ ___
External migration work ___ Agreed scope ___ Written quote ___
Old-provider overlap ___ Confirmed billing period ___ Cancellation confirmation ___
Internal reconciliation Your hourly cost: ___ Your planned hours: ___ ___ Work log ___

For a monthly line, use rate × units × chargeable months. For a usage line, use rate × events. Enter an agreed annual or one-time amount directly.

Add the completed annual amounts. Keep unresolved rows visible beside that subtotal; otherwise a precise-looking total can conceal unfinished purchasing decisions.

Make the switching bill answer a Gusto-specific question

The question is whether the accepted Gusto configuration and imported records are ready for your chosen cutover.

Use the following acceptance workflow as a proposed operating method. It does not describe services automatically included in every Gusto contract.

First, create an import acceptance record. List the source report, its reporting period, the destination field or report, the person checking it and the evidence of agreement. A file being uploaded does not demonstrate that its contents reconcile.

Next, separate comparison work from payment approval. If you arrange a parallel comparison, specify whether it is a preview or another non-paying test. A parallel comparison is not permission to release payroll twice. Confirm which system is authorized to make the actual payments before approving anything.

Then, give each discrepancy an owner. Record the affected employee or balance, the source value, the imported value and the action required. Assign responsibility for investigating and approving the correction. Do not close the row simply because a support ticket exists.

Connect support to the disputed work. Keep the disputed payroll record, the billing line and the escalation owner on the same worksheet row. If an upgraded support service is proposed, ask exactly which access changes and which responsibilities remain with your team.

A support upgrade buys queue priority; it does not name the owner of your unresolved payroll discrepancy.

Finally, set a cancellation checkpoint. Ask the outgoing provider to confirm the billing stop date, continued record access and responsibility for any outstanding corrections. Enter overlap from that answer. Do not invent a standard migration fee or assume a standard overlap period.

Treat your team’s reconciliation time as a separate planning input. Record the hours and hourly cost you choose to use, then replace planned hours with actual time when available. This is an internal budget calculation, not a vendor fee.

Keep comparison quotes on the same scope

The QuickBooks page reviewed on October 22, 2026 displayed Workforce Payroll + Simple Start, including accounting, at $44/month plus $6.50/employee/month for three months, alongside a regular base of $88/month. It is a bundle; do not label it payroll-only or compare its promotional base with a full-year Gusto amount. Confirm eligibility and later billing in writing. QuickBooks pricing

The RUN Powered by ADP page requested a quote rather than publishing a reusable base and per-person rate. Obtain those amounts, selected extras, implementation charges and post-promotion pricing before calculating an ADP total. ADP product and pricing entry, checked October 22, 2026

Close the decision with an acceptance record

Before accepting your Gusto plans and pricing, resolve the rows that could change either the bill or the cutover: the chosen extras, the imported balances and the person responsible for each open discrepancy.

Keep the accepted worksheet. Use it to review the first invoice and close the migration work, so your Gusto payroll cost calculation ends with evidence rather than an unexplained total.

Frequently asked questions

Which Gusto fees belong outside the monthly plan total?

Separate usage-based services, annual administration charges and specifically quoted transition work from the selected plan. Keep unknown amounts marked as awaiting a quote rather than treating them as free.

How do Gusto pricing plans change the add-ons I should count?

Check each selected feature against the plan before adding an incremental charge. An upgrade can change what is included, so review the add-on rows again when you change plans.

How should I compare Gusto plans and pricing for a full year?

Multiply each monthly charge by its chargeable months and each usage rate by the events in your stated scenario. Keep introductory pricing, unconfirmed charges and transition work visible instead of folding them into an unexplained total.

Does Priority Support name the person responsible for migration discrepancies?

The published description provides prioritized access to phone and chat support. Ask for the discrepancy owner and any resolution commitment explicitly; do not infer them from queue priority.
